Course order includes all the courses throughout the year with estimated and temporary information which can be adjusted later on. Course order is often available in October, the official date will be notified to you.
Only VET Coordinator can place a course order.
Please follow the steps below to place a course order for your school. You can click on the step to quickly go to the details you want to see or follow the steps in order. There are some steps that are optional, depending on how you need to set up your VET programs.
Step 1: Log in as Coordinator and go to the Course Order Button

Step 1: Log in as a Coordinator and go to the Course Order page by clicking on the Course Order button.
Step 2: Update your school details, coordinator and trainer information:
- In the School Details section, you are required to fill in the information in the Type, Sector, Street Address, Suburb, State and Postcode fields. The other fields are optional.
- The Coordinators & Trainers section will show you the existing coordinators and Trainers at your school. Simply click on Add Another to add any new coordinators or Trainers who will be involved in the delivery of your VET programs. The required fields are Type (Trainer, Coordinator, or Both), First Name, Last Name and Email address of the new staff.
- When finished, click on the Next button at the bottom right of the screen to go to the next step.
Alert! To return to a previous screen at any time, use the Back button at the bottom of the order form.
DO NOT click back using your browser controls at the top of the screen, which may result in data being lost.
Step 3: Fill in the Course Order Information
Step 3.1. Course Selection
This area is where you set up all the courses and related information for your programs, which is divided into 2 sections: Add course and Adjust course detailed information.
Section 1: Add course
Follow the steps below to add a new course to your order:

- Course name: You can select the course you wish to order from the drop-down list or type a part of the course name to reduce the selection options, then click on it to select.
- Number of Students: Click and enter the forecasted or anticipated number of Students you expect to enrol or participate in the course.
- Number of Trainers: Click and enter the number of Trainers that will collectively teach the course being ordered.
- IVET to deliver First Aid: If the course contains a First Aid unit, you can also nominate whether or not you would like IVET to deliver it. If this option does not display, it is simply because First Aid is not a standard inclusion in the course selected.
- Click on the Add button to finalise the course selection, and repeat these steps for any additional courses you wish to order.

The forecasted numbers you provide will be used to set up classes with the appropriate number of enrolment 'places'. No invoicing or financial charges will apply to these forecasts, and there will be multiple opportunities to increase or decrease these numbers post-class set-up.
Section 2: Adjust course detailed information
After the course is added to your order, this area allows you to see and adjust all the course detailed information.

- Each course will be shown with 5 main parts a,b,c,d and e. If you add other courses to your order, scroll down to see and adjust their detailed information.
- To remove a course, simply click on the x icon at the top right corner of each course.
a. Trainer Information:
For each selected course, click to select the Trainer(s) delivering the course, or conversely, tick on Not sure if this is the case. Repeat this step for each applicable Trainer.
The Trainers available in the drop-down list are based on the information confirmed and/or supplied in Step 2.
Alert! The later IVET is advised of the Trainer(s) for each course, the less time those Trainers will have to complete the associated quality assurance processes (Trainer credentials checks). In worst cases, this can delay the commencement of programs.
IVET strongly urges all schools to provide the details of the Trainer(s) as soon as they are known.
b. IVET to deliver First Aid
If you opt for IVET delivery of the First Aid training, select your preferred term for its delivery.
The IVET First Aid team will be notified of your expressions of interest and either your SRO or a First Aid team member will follow up with you accordingly.
c. Course Start and End date:
Alter the course start and end dates, as required.
d. Course Composition Adjustment:
i. Unit Change (Course Level):

- If required, click the Change button to omit any standard units and replace them with permissible substitutes.
- Make the selection of the desired permissible substitute unit from the menu provided. You can also stop the process by clicking on the Cancel button.
- Click on the Confirm button to confirm your unit selection.
- If required, click the Change button to omit any standard units and replace them with permissible substitutes.

Alert! You can only swap 'like for like' units (elective type for elective type, import for import etc.) and cannot omit core units.
Note: Permissible substitute units are not included in the printed resources and will only be available in electronic format.
ii. Unit Arrangement (Course Level):

- Use the toggle buttons as shown (click and drag) to arrange the units into your preferred sequence of delivery, if applicable.

Alert! For Hospitality and Cookery programs, the unit SITXFSA005 must remain the first in the delivery sequence, as it is a formal pre-requisite to many other units.
iii. Class Configuration:

- If you are expecting a large number of Students and therefore need the course split into multiple classes, tick on the Class Configuration (optional) box. If the course order is for a single class and not being customised, skip to the next step.
- Nominate the Trainer(s) who will be teaching the first class you are configuring, the Trainers available to select are based on the information confirmed and/or supplied in Step 2.
- Enter the number of required/anticipated enrolment places for the first class.
- Click the Add New Class button and repeat the above steps for the required number of classes for the course. All classes will need to equate to the total number of Students entered at the course level.

iv. Unit Change and Arrangement (Class Level)

- To customise the course composition (unit selections) at the class level - i.e., different classes requiring different units, despite being in the same course, tick the box as shown below:
- The course composition will then appear. Click and drag the toggle buttons to arrange the units or click the Change button to omit any standard units and replace them with permissible substitutes.

- In the event that you wish to select and include an imported elective unit that is not available within the tables provided, you can detail the request in the field provided here:
- Click on the Next or Back buttons at the bottom of the order form to go to the next step or to return to a previous screen to avoid data loss.

Alert! It is crucial at this step that you:
a) do not use this field for any other purpose.
b) provide the details including the full and correct code and title of the unit being requested and the unit you wish to omit/replace.
c) confirm the unit's availability with your SRO (School Relationship Officer) before making the request.
3.2. Additional Courses:
- If you require any additional First Aid training (as a standalone unit, over and above that in the courses ordered in the previous screen), click Yes.
Conversely, if you have no further First Aid training needs, click No and skip to the next part.
If you selected Yes, click to enter the forecasted or anticipated number of participants.
- If you require any additional training related to Relationships and Sexuality Education from inyourskin or Digital Safety and Wellbeing Education with Evovle Education, simply click on Yes.
- The IVET team will be notified of your expressions of interest and either your SRO or an IVET team member will follow up with you accordingly.
- Click on the Next or Back buttons at the bottom of the order form to go to the next step or to return to a previous screen to avoid data loss.
3.3. Trainer Status
- This page is for you to confirm each Trainer and/or Coordinator's VET Qualification.
- Click on the TAE Qualification field to select your staff's qualification:
- If the Trainer holds a Diploma in VET/Adult Education or either the TAE40122 or TAE40116, the TAE40110 versions of the Certificate IV in Training and Assessment, simply choose the correct option.
- If the Trainer does not hold any form of TAE/VET qualification, choose No Qualification and use the Register for IVET TAE Training field to register the Trainer for TAE training with IVET, via TAE Academy.
The TAE Academy team will be notified of your expressions of interest and either
your SRO or a TAE team member will follow up with you accordingly.
- If the Trainer holds a Diploma in VET/Adult Education or either the TAE40122 or TAE40116, the TAE40110 versions of the Certificate IV in Training and Assessment, simply choose the correct option.
- Click on the Add Additional Staff button to add new staff with their qualification information.
- The note at the bottom of the page will give you some important information regarding the qualifications.
- Tick the I Understand box and click the Next button to progress to the order review/confirmation.
3.4. Review & Confirm
- This page shows you a summary of all the information included in the order which allows you to review all information to ensure completeness and accuracy prior to submission.
- Each part has an Edit icon at the top right corner, which leads you back to the page so that you can edit the detailed information.
- Click on Equipment List to view/download the corresponding course's Facilities & Equipment checklist.
- Use the field provided at 5 for any general comments or requests relevant to your school's order. In the School Declaration section, tick on the 2 boxes to confirm. Then, click Submit once the order is considered complete.
