How to Change, Add or Remove Trainers

This guide outlines the process for adding, changing, or removing trainer profiles within the Portal. Please note that this functionality is restricted to coordinators only.

To add new Coordinator or change Trainer/Coordinator's current role to another role (Trainer/Coordinator/Dual Trainer-Coordinator), please contact your School Relationship Officer (SRO) or email our Admin Team at admin@ivet.edu.au.

To access the Coordinator Dashboard interface, kindly follow the steps outlined below.

1. Navigate to the Coordinator Dashboard

2. In the top right corner, click Administrate Classes

Please note that the interface below, including the Trainer Dashboard button in the upper right, is only available for Coordinators with a Dual Coordinator-Trainer account.

3. Click Add Change Request

To Change a Trainer of a Class 


4. From the Select Change Type menu, click Change Trainer if you wish to make a
change utilizing existing Trainers.

Note: Changing a Trainer may trigger additional Quality Assurance processes, including the generation of an additional Trainer Credential form (vocational competency matrix). Please allow 48 hours for this process to be completed.
Any such quality assurance processes must be completed and approved before the relevant units can be activated by the replacement Trainer. 

5. Click to choose the applicable change you wish to make from the options in the pop-up menu.

If you need to remove a trainer from a class, please click this text and refer to Step 17 below.

6. Click to select the applicable Trainer you wish to assign to the class from the drop
down menu.

7. Click to select the applicable class from the drop-down menu.

8. Click to select the existing Trainer you wish to remove from the class.

Note: A pop-up message will appear to alert you to any impacts the proposed changes will have on the class.

9. Once you have reviewed this information, and you wish to proceed, click "I
confirm I have read and understood the details above *

10. To complete the change, simply click Submit, or otherwise, click Cancel.

Tip: You can also switch Trainers between classes of the same course using these new functions.

To Add a New Trainer 

11. Follow Steps 1-3 above

12. From the Select Change Type menu, click Add New Trainer

13. Click to enter the new Trainer's details in each of the mandatory fields as noted *.

14. Click to select the classes the new trainer is intended to be added to.

15. Once you have made all selections, completed all details, and reviewed the contents of any pop-up messages, click I confirm I have read and understood the details above

16. Click Submit to finalize, or otherwise, click Cancel.

Note: Adding a new Trainer will require IVET to add them to its database and will trigger Quality Assurance processes, including the generation of a Trainer Credential form. Please allow 48 hours for this process to be completed.
Any such quality assurance processes must be completed and approved before the relevant units can be activated by the new Trainer.

To Remove a Trainer from an existing class

17. Follow Steps 1-4 above

18. Click to select the existing Trainer you wish to remove from the class (1)

19. Click to select class to remove Trainer who was chosen from (2)

20. Add comment (if any) (3)

21. Once you have reviewed this information, and you wish to proceed, click "I
confirm I have read and understood the details above*" (4)

22. Click Submit to finalize, or otherwise, click Cancel.
