How to Add Classes and Request Unit Changes
This article guides you through 2 options for managing your class: how to use the "Add Classes" function to divide a single class into smaller classes; need to replace a unit with a different one, discover how to submit Unit Request/Replacement Form.

Add an additional Class to an Existing Course
If student enrolments have exceeded expectations and a cohort needs to be split out into multiple or further classes, you can now add a class as follows:
Note: This function is also available on the Coordinator's Dashboard.
1. After logging into the main screen of the Coordinator Dashboard, in the top right corner, click Add Class.
Please note that the interface below, including the Trainer Dashboard button in the upper right, is only available for Coordinators with a Dual Coordinator-Trainer account.
For accounts designated for Coordinators only, the interface will be displayed as shown below.
2. Locate the applicable course and click "Add class" on the right.
3. Click to enter the number of Student enrolments anticipated for the new class.
Note: The Student number entered in Step 4 does not result in any fee charges, and does not place any limitations on the number of students that can enroll into the class.
The field is only provided so that your Coordinator can see the Student numbers in their courses management and book ordering page.
4. Click to select and confirm the proposed Trainer of the new class.
5. If the Trainer is new and does not appear in the dropdown menu, you can click
Add trainer to manually enter their name and email.
Note: Entering a new Trainer will require IVET to add them to its database and will trigger Quality Assurance processes, including the generation of a Trainer Credential form. Please allow 48 hours for this process to be completed.
All such quality assurance processes must be completed and approved before units can be activated by the new Trainer.
6. Once complete, click Add new Class to finalize the request.
Request a Unit Change
This functionality is accessible on the Coordinator's Dashboard, simply click the Administrate Classes button. The steps involved are outlined below.
For accounts designated for Dual Coordinator-Trainer, the interface will be displayed as shown below.
1. Click on Add Change Request
2. From the Select Change Type menu, click Request Unit Change in a Course and
locate and select the applicable course and class.
3. Click UNIT CHANGE REQUEST FORM on the right.
4. Complete the UNIT CHANGE REQUEST FORM as prompted and when done, simply click SUBMIT (or cancel). Click to enter the new details in each of the mandatory fields as noted*.
5. Complete all fields within the UNIT CHANGE REQUEST FORM as prompted and when done, simply click Submit to finalize the request, or otherwise, click Cancel.
Note: All unit request changes must be reviewed and approved by IVET before they can be actioned.
If approved, unit changes will be applied by IVET and the changes will be reflected in your class within 05 business days.
Changes to unit selections may result in additional Facilities & Equipment checklists and/or Trainer Forms (vocational competency matrix).
All such quality assurance processes must be completed before the new unit(s) can be activated for students to commence the unit(s).
